OFFICE of DOCUMENT MANAGEMENT
- To carry out necessary actions in order to set the agenda of Executive Board, to record the decisions taken by the Executive Board, to get those decisions signed by Executive Board Members and transmit them to the relevant departments with a cover letter,
- To present to the Chairman of the Ethics Council the application form and request of the academic staff applying to the Ethics of Social Sciences and Humanities Research, to prepare the certification of the Ethics and to submit this document to the applicant with a cover letter,
- To coordinate the application procedures for Academic Incentive Payments,
- To exchange correspondence with various institutions concerning Rectorate and Secretary General,

To prepare leave and sick forms of the staff working at Secretary General,

To follow and keep the incoming and outgoing documents of the Secretary General,
- To prepare the request forms as being an unit in charge of movable property ??, to transfer them to Directorate of Administrative & Financial Affairs a cover letter, to receive, to protect and to send the movables to the place of use on behalf of the spending authority, to organize schedules and documents according to the basis and procedures specified in the Regulation, (debit, takeover, etc.)

- To exchange inhouse correspondence concerning the Rectorate and the Secretary General,
- To record all the documents concerning the university on the record book, to scan and to record into EBYS and to present them to the Secretary General,
- After the transfer by the Secretary General, to follow the documents recorded into EBYS and record them into record book of concerning unit,
- To inform the Secretary General about the documents which are transferred by The Secretary General itself in case those documents which don’t fall into its area of responsibility are sended back by the unit and after having returned by the concerned unit to the record Office, and to follow those returned documents,
- To record the documents into EBYS sent by Registered Electronic Mail (KEP) and document tracking,
- To track the outgoing documents through EBYS,
- To confirm,
- Within the scope of Public Internal Control Standards Concordance Action Plan, to enter data concerning the Secretary General,
- To receive delivery of all documents by post, courier and cargo,
- To enter the documents transferred by the General Secretariat in the debit balance and deliver these documents to the department that they are transferred by signature,
- To make the documents that should be delivered out of the institution by mail or cargo ready, enter them in the debit balance and deliver them,
- To make the documents that should be delivered out of institution by hand ready, enter them in thedebit balance. and deliver them to the relevant institutions,
- To carry out the other duties assigned by the unit chef.
MEDIA, PUBLICATIONS and PUBLIC RELATIONS DIRECTORATE/COORDINATORSHIP
- To update the webpage of the university and share the news, events and announcements,
- To announce academic, social, and cultural events before and after the events on the social media accounts of the university and share information about them,
- To perform all the work and operations related to Information Acquisition Unit,
- To follow the news, articles and programs in the media about the isssues that fall within the scope of the duties of our Rectorate and university, inform the related units about these news, articles, and programs, compile and archive them regularly,
- To inform the related units about the news, articles, and programs about the issues that concern our university and revise them if needed,
- To meet the written and oral demans from the press and provide a correct and healthy information flow between the press and our university,
- To follow the academic, social, and cultural events organized in the university, prepare the press announcements and make these announcements to media outlets, ensure that news bulletins prepared are published by sharing them with the press,
- To share the academic, social, and cultural services produced in the univesity with the public,
- Designing, printing and distributing event posters and invitations,
- Making the event announcement via e-invitation, through the website and social media,
- Providing protocol services to the events,
- Receiving and archiving event photos and video recordings,
- To prepare materials such as catalogs and brochures used in the promotion of our university,
- To realise of publicity activities for university candidates, especially for schools and private teaching institutions,
- To send various materials such as catalog, brochure, or CD etc. to the high schools, private teaching institutions and individuals that are all over the country upon request,
- To guide the schools or student groups that come to visit our university in order to see and recognize the training opportunities, organize publicity programs including academicians from related departments upon request from the visitors,

To display, take photos, and record the events and activities related to Rectorate,

To operate Rectorate protocol services,

To perform the other duties assigned by the unit chef.
